EXECUTIVE ASSISTANT

We are currently looking for a Executive Assistant to support our COO and be the primary point of contact for internal and external customers on all matters. The person in this role will have the opportunity to serve as a liaison to other senior leaders and senior management teams, organize and coordinate executive outreach and external relations efforts, and oversee special projects. You will work independently on projects, from conception to completion, which means you must be able to work under pressure at times and be able to handle a wide variety of activities and confidential matters with discretion.


Other responsibilities of the role:

Coordinate communications and calendars.

Review administrative work procedures, policies & operational methods, and identify & document Standard Operating Procedures (SOPs), best practices, filing & audit mechanisms, and financial & performance metrics reporting.

Decide who should respond to third party questions on behalf of the executive, and as appropriate, prepare responses to third party questions on behalf of the executive.

Represent the executive at meetings internally and externally.

Prepare and edit correspondence, communications, and presentations.

Communicate and handle incoming and outgoing calls and emails.

Schedule and prepare the agenda for meetings, including collecting agenda items and background material and prioritizing those materials.

Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, solving problems, and adjusting plans.

Create and/or maintain complex spreadsheets and databases or reports, queries, charts, etc. based on supervisor's information objectives.

Approve appropriate expenses, purchases & reimbursements per budget by interpreting and applying relevant policies.

Manage calendar for the department and the SVP.

Coordinate travel arrangements - domestic and international coordinating across multiple time-zones

What you need:

GED or HS diploma

5 years administrative support or other relevant experience

The ability to work a flexible schedule, supporting a leader who works across multiple time zone, i.e., you can work early mornings, or late evenings as needed.

Must be able to manage projects, including competing projects and priorities.

Experience working in a large, global environment.

Exceptional organizational skills and impeccable attention to detail

Excellent judgment and the ability to switch gears at a moment’s notice.

Prioritization, including the ability to manage conflicting requests.

Proficiency in Microsoft (Outlook, Word, Excel, Visio, SharePoint, Teams, and Power Point), Adobe Acrobat, and relevant Social Media web platforms (Yammer)
